For the purposes of applicable data protection legislation, LD Pro is responsible for the personal information processed through MathsForSATs, subject to the controller and processor arrangements described below.

This Privacy and Cookies Policy explains what personal information we collect, how we use it, how it is stored, who we may share it with and the rights available to individuals.

2. What information may we collect?

We may collect and process the following categories of information.

Teacher and account information

When a teacher creates or uses an account, we may collect:

name;
email address;
school or class name;
account and login information; and
information relating to the use and administration of the account.

Student account information

When student accounts are created, we may collect information such as:

student name or display name;
email address, where an email address is used for the account;
class or group information;
student username or other account identifier;
avatar or other optional in-platform identity information; and
information necessary to provide the MathsForSATs service.

Where MathsForSATs is used by a school, the school may provide student information to us and may determine what student information is entered into the service. The precise controller and processor responsibilities will depend on the nature of the school’s use of the service and the arrangements in place between the school and LD Pro.

Learning, assessment and performance information

MathsForSATs records information about pupils’ use of the platform and their performance in maths activities. This may include:

answers to questions and whether answers are correct or incorrect;
marks and scores;
questions attempted;
topics and knowledge areas;
learning objectives;
assessment and test results;
worksheet and activity categories;
curriculum levels, tiers or ranks;
progress and milestones;
points, rewards and other game-related progress;
active engagement information, such as activity dates, times and periods of use;
aggregate accuracy and performance information;
information used to identify areas where additional practice may be useful; and
other information generated through the pupil’s use of MathsForSATs.

This information may be linked to the pupil’s account, class and school so that the platform can provide learning guidance, progress information and teacher reporting.

Workbook Evidence

MathsForSATs may also process results from maths work completed and marked by pupils in their exercise books or other written work.

Workbook Evidence allows results from marked written work to be added to the pupil’s MathsForSATs learning record alongside results from digital activities.

Information submitted through Workbook Evidence may include:

pupil name or display name;
class information;
knowledge area;
topic;
learning objective, where one has been entered;
marks achieved;
total marks available;
calculated percentage or performance information; and
the date and time the result was submitted.

The purpose of processing this information is to incorporate evidence from pupils’ existing written maths work into their learning record. This can help provide a more complete and up-to-date picture of learning, identify areas of strength and difficulty, support intervention planning and show how understanding changes over time.

Workbook Evidence is designed to use evidence that pupils are already producing as part of their normal maths work. It does not require pupils to complete an additional assessment solely for the purpose of creating this record.

Student cards and QR codes

Workbook Evidence uses student cards which may contain information such as the pupil’s name or display name, class, topic, learning objective, avatar and a QR code.

The QR code contains a signed technical token used by MathsForSATs to identify the relevant pupil, class and workbook activity. The token does not contain the pupil’s name.

When a card is scanned, the QR code is decoded locally on the device being used. The resulting technical information and the pupil’s earned and total scores are then sent to the MathsForSATs website so that the result can be added to the pupil’s existing learning record.

Student cards should be kept secure and used only for the intended MathsForSATs activity.

Camera and scanning

The Workbook Evidence scanning feature uses the camera on the device to read student cards. Camera access is controlled by the device’s web browser, and permission must be granted before the camera can be used.

Workbook Evidence is designed for scanning by a teacher or other authorised adult acting on behalf of the school. Schools should normally ensure that scanning is carried out by an appropriate member of staff rather than by pupils.

If a school chooses to allow pupils to operate the scanning function, that is a decision for the school. The school should make its own assessment of whether this is appropriate, including any relevant safeguarding, supervision and data protection considerations.

The camera image is processed entirely within the browser on the device being used for scanning. Each camera frame is temporarily copied into the browser’s memory so that the student card’s QR code and written score can be recognised.

The image processing takes place locally on the device. MathsForSATs does not upload, transmit or store camera images or video on its servers.

The QR code is decoded locally in the browser. The written score is also read locally in the browser using software running on the device.

Only the information needed to record the result is sent to the MathsForSATs website. This consists of the decoded QR information and the earned and total scores. No camera image or video is included in that information.

The server uses this information to add the result to the pupil’s existing learning record. No camera image is included in that record.

A camera frame may be held temporarily in the browser’s memory while the scanning feature is in use, for example to allow the user to re-read the card. This temporary image is not saved as a file or uploaded to MathsForSATs. It is discarded when it is no longer required, including when the scanning session ends or the page is closed.

If a pupil, teacher or another person happens to appear in the camera view while a card is being scanned, that image remains within the browser on the scanning device. It is not sent to MathsForSATs, is not sent to a third party by the scanning feature and is not used to create a personal information record.

Users should nevertheless position the camera towards the student card and should not deliberately photograph themselves or other people when using the scanning feature.

The scanning page uses browser-based JavaScript libraries to decode QR codes and read the score. These libraries may be downloaded by the browser from a content delivery network (CDN). The CDN provides the software files to the browser; camera images, pupil information and workbook results are not sent to the CDN by the scanning feature.

The camera is switched off when the user leaves the scanning function or otherwise stops the camera through the browser or device.

How learning information is used

MathsForSATs may combine results from different sources, including digital questions, activities, tests and Workbook Evidence, to maintain an up-to-date picture of a pupil’s learning.

This may allow the platform to:

show pupils areas to practise;
show teachers current strengths and areas for improvement;
identify patterns in performance;
show topic-level performance;
track changes in performance over time;
provide class-level information about areas of difficulty;
create or update intervention groups based on recorded performance; and
provide reports, dashboards and other learning information to authorised teachers and school users.

Profiling and automatic grouping

MathsForSATs analyses recorded learning and performance information to identify patterns, strengths, areas of difficulty and potential areas for further practice. This may constitute profiling for data protection purposes.

The platform may automatically organise pupils into groups based on their recorded performance and areas for improvement. These groups are intended to assist teachers in identifying pupils who may benefit from additional practice or intervention.

Automatic grouping is based on recorded learning evidence, which may include digital activity and Workbook Evidence. Groups may change as new results are recorded.

These automated groups are intended to support teachers rather than replace their professional judgement. Teachers remain responsible for reviewing the available information and deciding what educational support or intervention is appropriate for a pupil.

MathsForSATs does not use these automated groups to make decisions about a pupil’s legal rights or to determine access to statutory benefits or services.

Because MathsForSATs processes children’s learning information and uses it to help identify areas for support, we take particular care to ensure that the information used is relevant and sufficiently accurate for its intended purpose. We also review the associated data protection risks and safeguards as the service develops.

Gamification and engagement information

MathsForSATs is designed as a gamified learning platform. We may therefore process information relating to a pupil’s engagement with game and learning features, including:

points;
milestones;
progression through activities or levels;
virtual pets or similar game features;
leaderboard information;
student display names or usernames used within the platform;
aggregate performance information; and
activity and engagement information.

Where leaderboards are provided, they may use an internal username or display name rather than a pupil’s full name.

These features form part of the educational and motivational design of MathsForSATs and are used to encourage participation and continued learning.

Technical information

When you use MathsForSATs, we may automatically collect technical information such as:

IP address;
browser type and version;
device type;
operating system;
screen or device information;
dates and times of access;
pages and features accessed;
technical error information; and
other information necessary to operate, secure and improve the service.

Payment information

Where you purchase a subscription or other paid service, payment information is processed by our payment provider, Stripe. We do not generally store complete payment card details on our own systems.

Stripe may process payment and transaction information in accordance with its own privacy policy and applicable data protection requirements.

We may use personal information for the following purposes:

to provide MathsForSATs and its features;
to provide learning activities and resources;

4. Lawful basis for processing

Depending on the circumstances and the type of information involved, we rely on one or more lawful bases under applicable data protection legislation.

Performance of a contract: where processing is necessary to provide a service that you have requested or to take steps at your request before entering into a contract.
Legitimate interests: where processing is necessary for our legitimate interests, or those of the organisation using MathsForSATs, provided those interests are not overridden by the individual’s rights and freedoms.

Where MathsForSATs is supplied to a school and we process pupil information on the school’s instructions, the school may act as the data controller and LD Pro may act as a data processor for that processing. The respective roles depend on who determines the purposes and means of the processing.

We do not treat consent as a substitute for another lawful basis where a different lawful basis is more appropriate.

5. Cookies

MathsForSATs uses cookies and similar technologies to operate the website and provide certain functionality.

Cookies may be used for purposes including:

keeping users logged in;
remembering settings and preferences;
maintaining the security of the service;
understanding how the website is used;

service providers that host, maintain or support MathsForSATs;

law enforcement, regulators or other authorities where we are legally required to do so; and

We do not sell children’s personal information.

We do not use children’s learning or performance information for third-party advertising.

Where third-party providers process children’s information for functions such as hosting, analytics or other technical services, we take appropriate steps to establish the nature and purpose of that processing and the safeguards that apply.

8. Children’s information

MathsForSATs is designed for educational use and may process information relating to children, including learning and performance information.

We recognise that children require particular protection when their personal information is processed. We therefore seek to limit collection to information needed to provide and operate the service and to use children’s information only for appropriate educational, operational, security and related purposes.

Where children use the service through a school, the school is responsible for ensuring that appropriate arrangements are in place for the provision and use of pupil information.

Where children use MathsForSATs directly, we provide information about how their information is used and apply appropriate safeguards.

We do not use children’s personal information for behavioural advertising.

Workbook Evidence is designed for scanning by a teacher or other authorised adult acting on behalf of the school. The scanning process itself does not transmit camera images or video to MathsForSATs or to the third-party CDN used to provide the browser-based scanning libraries.

Under applicable data protection law, individuals may have rights including:

the right to be informed about how personal information is used;
the right to access personal information;
the right to request correction of inaccurate information;
the right to request deletion of personal information in certain circumstances;
the right to request restriction of processing in certain circumstances;

10. Automated processing and intervention information

MathsForSATs uses automated processing to analyse learning information and provide information about performance.

The purpose of this processing is to help pupils and teachers understand current learning needs and to support appropriate educational intervention.

Automatic grouping does not itself determine what educational action a teacher must take. Teachers can review the available information and use their professional judgement when deciding whether and how to provide additional support.

Where applicable data protection rights relating to automated decision-making or profiling apply, individuals may exercise those rights in accordance with applicable law.

MathsForSATs does not sell children’s personal information.
